A White-Glove Dinner to Close the School Year.

At the end of a busy academic year, the leadership team of a private university wanted to mark the moment with an intimate, seated celebration dinner. For the host, this event carried real weight: it landed during a week full of activities wrapping up the school year, and it coincided with the host's own transition from a contract role into a permanent position. It needed to go beautifully.

The client already knew Handheld well. This was the third event Handheld had catered at the same private residence, so the team came in with detailed notes from the previous celebrations and a clear picture of the white-glove quality the client expected. The vision was a restaurant-caliber, multi-course plated dinner, with a welcome champagne reception, served flawlessly in a private home, so the guests could focus on intimate conversation rather than logistics. The Challenge

A Restaurant Experience, Built From Scratch in a Private Home.

A seated, multi-course dinner in a private residence is one of the harder things a caterer can be asked to do well. Three things shaped how Handheld approached this celebration.

Bring the Whole Restaurant to the Backyard
The venue is a private home with no event infrastructure, so every table, chair, place setting, and piece of kitchen equipment had to be brought in and staged. Handheld built a full working kitchen and dining room on the property, then cooked and plated each course on site.

Give Every Guest a Choice, On Budget
The client pictured a real restaurant, where each guest orders their own entree. An B. walked the client through three ways to deliver that in a catering setting and recommended pre-selection: guests chose their entree ahead of time, which gave everyone variety while keeping the event on budget.

Accommodate Every Guest, Down to the Detail
Vegan and gluten-free guests were fully accounted for, including a from-scratch dairy-free garlic mashed potato so no one had a lesser plate. As a final touch, the team added edible gold leaf to the dessert to match the university's theme color.

A Full Kitchen and Dining Room, Brought In

Because this was the third dinner at the residence, the team arrived with notes from the earlier events and a plan built for the space. Equipment was delivered the day before rather than the morning of, which the client later singled out as a difference-maker: it gave the crew time to set the kitchen, stage the dining room, and start the celebration calm and ready.

Each course was cooked and plated on the premises. The roasted ribeye was finished with a demi glace and herb butter to order, the seared seabass with an olive-lemon gremolata, so every plate left the kitchen at its best rather than held under a lamp.

The evening opened with a welcome champagne reception and a charcuterie spread, then moved to the seated dinner. Because guests had pre-selected their entrees, Handheld set out name cards with an open seating chart, so each guest could sit anywhere and still be served exactly the dish they chose.

Wine was poured at the tables and every course was delivered in sequence under Lisa B.'s on-site coordination. A small planner's touch made the space work too: a designated, linen-topped table for guests to set down their belongings, easy to overlook, and exactly the kind of detail that keeps an outdoor private-home dinner feeling effortless.

The Execution

Delivered the Day Before, Cleaned Up the Same Night.

For a seated dinner in a private home, the timeline is everything. Handheld delivered and staged the equipment the day prior, so the team was not racing the clock on the day of the event, and every element, from the kitchen to the table settings to the bar, was in place well before the first guest arrived. The client noted afterward that this day-prior delivery, versus same-day, made a real difference.

Full-service support ran to the very end of the night. The team handled same-day cleanup and equipment pickup, so the host was left with a spotless home and nothing to manage after the last guest left. To keep the pre-selected menu flawless, Handheld paired each guest's name card with an open seating chart, a simple system that let people sit wherever they liked while still receiving exactly the entree they had chosen.
